Logoplaste is currently seeking to recruit an Executive Assistant to integrate the Office Support team.

Reporting directly to the Head of Strategy, you will be required to work as an integral part of the team.

Job Summary

The Senior Executive Assistant ensures an effective use of Board Members' time and fosters a welcoming and functional workplace.

 

Key tasks & Activities...

  • Calendar management
    - Coordinates the CEO's agenda ensuring time allocation matches defined priorities

 

  • Meeting preparation
    - Prepares meeting agendas for the CEO, whether with the board, the executive committee, or both
    - Ensures that important materials are distributed to participants in advance and if needed, liaises with other employees to guarantee everything is prepared
    - Is responsible for ensuring that all necessary tools are available and working correctly
    - Is responsible for addressing any issues to ensure they are resolved before the start of the meeting, which may involve contacting key departments or employees for assistance

 

  • Stakeholder Engagement
    - Has the critical spirit and the appropriate attitude to liaise with board members, executives, and other stakeholders to ensure that availabilities are well communicated and that there are no overlaps in the CEO's schedule.

 

  • Travel Arrangements
    - Plan and coordinate travel logistics, including flights, accommodations, and itineraries (for CEO or others involved in meetings where he is present)
    - Ensure all travel arrangements are aligned with the CEO's schedule and preferences and is proactive in suggesting restaurants and activities
    - Prepare expense reports
    - Creates purchase orders for the CEO and Chairman
    - Plan and coordinate travel logistics, including flights, accommodations, and itineraries (for CEO or others involved in meetings where he is present)
    - Ensure all travel arrangements are aligned with the CEO's schedule and preferences and is proactive in suggesting restaurants and activities
    - Prepare expense reports
    - Creates purchase orders for the CEO and Chairman

 

  • Office management and Administrative support to HQ
    - Supports and replaces Administrative Assistant

 

Who we are looking for…

Background and Experience

  • 5-7 years of experience in the same position in an international company
  • Bachelor’s degree in Secretariat/ International Relations (is a plus)

 

Technical Skills

  • Fluent in English
  • Fluent in Portuguese
  • Good level of French (is a plus)
  • Good level of Germany (is a plus)
  • MS Office, specially Word and Excel
  • Experience of working with SAP (is a plus)

 

Interpersonal Skills

  • Highly driven individual focused on continuously enhancing the team's efficiency and effectiveness
  • Flexible with a proactive and problem-solving attitude
  • Team player with strong collaboration capabilities
  • Detail-oriented and capable of multitasking in a fast-paced environment
  • High level of integrity and ability to handle confidential information
  • Ability to interact professionally with internal and external stakeholders
